Convert QCI to JCI

We are excited to announce a new feature update in SapphireOne that brings enhanced transparency and accuracy to your invoicing process. With the ability to convert Quote Client Invoices (QCI) into Job Project Client Invoices (JCI), you can now provide your clients with a detailed breakdown of time spent on each task, creating a more transparent and informative job project invoice.

The QCI Conversion functionality streamlines and enhances the workflow and management of planning and quoting for all job projects within your organisation. This feature provides valuable assistance in efficiently handling the entire process, from initial planning to final quoting.

Additionally, the functionality facilitates the capability to generate graphical representations of your job projects through SapphireOne Gantt charts. These charts offer a visual overview of the job project’s progress, enabling better tracking and analysis of key milestones and tasks.

With the Quote Client Invoice Conversion functionality and the use of Gantt charts, you can effectively manage and monitor your job projects, ensuring smooth operations and successful outcomes.



Unlike the traditional method of converting a QCI into a Sales Client Invoice (SCI), where you only see a total price and a general description of the job project, the QCI to JCI conversion feature offers complete transparency to your clients. Each task reported by your employees in their roster or timesheet will generate a line item in the specific JCI linked to the job project. This means that your invoice will showcase the exact breakdown of time spent, the date of each task, and a detailed description of the work performed.



Let’s take an example to illustrate the advantages of using a JCI over an SCI. Suppose you quoted two hours for the development of a calculator. With an SCI, you would see a total of two hours for developing, designing, testing, and documenting the calculator. However, with a JCI, you would have a breakdown like this:


  • 20 minutes for planning
  • 40 minutes for development
  • 30 minutes for UI designing
  • 15 minutes for testing
  • 15 minutes for documenting the product



This level of transparency allows your clients to understand exactly how their job project was executed and how their investment was utilised. It fosters trust and strengthens your professional relationship.
